In many organisations lack of precision planning with regard to procurement for goods and services may result in errors, lack of efficiency and a cost impact that significantly reduces the bottom line.
Pi-Log has coined the phrase, Pain/Gain as the transformation that takes place from data mismanagement (pain) to Master Data Management (gain).
A gap analysis is conducted to define the elements required to move the organisation from its current state to its desired state by means of a Roadmap that will reflect project priorities and phasing options. The scoping of data requirements is determined.
Determining the Current State
In most organisations, Master Data Management is not a recognised discipline, and the organisation is therefore unaware of the details of their current status and how it impacts on their objectives.
Master Data Management and in particular cataloguing/codification as well as the state of the data itself must be defined. In addition Pi-Log explores the systems environment in which all the elements of Master Data Management reside to ensure compatibility.
The process should highlight the most important issues which are tested in terms of their relevance to the identified business cases/ drivers.
Evaluation of the Systems environment
World best practice dictates that Master Data is managed in specialised software systems and interfaced to all downstream transactional software systems (i.e. the ERP systems).
PiLog aims to design a solution that has no or very little impact on the transactional systems. The degree of centralisation is evaluated, taking into account how to effectively cater for bandwidth limitations between regions. The scoping of the centralised cataloguing data warehouse is also determined.
Change Management and Training
The current state of knowledge and data management across business units is assessed to lay the foundation for the gap analysis and design of the training and change management plan.
Master Data Strategies and Policies
These high level documents including governance rules and strategies are the main drivers for the Master Data business processes as well as all the standards, and details/levels to which Master Data is to be developed and maintained.
Business Processes, Systems and Interfacing
Master Data cleansing, structuring and development will be delivered in accordance with the standards and policies described. PiLog ensures that the correct business processes are identified to maintain the data at the same standards prescribed by the policies.
Define Master Data Requirements
The utilisation of international standards forms the basis for any proper Master Data Management. Required standards and tailoring requirements are also identified.
